SmartBus is provided to schools under contract. Parents and staff access the service only when their school has enrolled and linked their account. Student roster and contact details are supplied by the school.

3 Information we collect

• Account details supplied for school-linked access (such as name, phone, and school association).
• Optional contact details you choose to add in the parent app (for example an email for account recovery).
• School transport records needed to run the service (such as trip and attendance information linked to enrolled students).
• Journey location for active school trips, shown to authorised school users and parents — not continuous tracking of parent phones.
• Basic device and notification details needed to deliver app updates and messages.
• Support messages you send to our team.

4 How we use information

• Provide school-linked access to authorised users.
• Support school transport operations and parent updates.
• Send service messages related to school transport.
• Keep the service secure and reliable.
• Respond to support requests from schools and users.

5 Legal basis

We process information to fulfil our agreements with participating schools, to support student safety in school transport, and with consent where the law requires it.

6 Sharing of information

We do not sell personal data. Information is shared only as needed to operate the service:

• Your school — authorised administrators and staff for transport operations.
• Trusted processors — infrastructure and messaging partners under contractual safeguards.
• Legal requirements — when required by law or to protect rights and safety.

7 Data retention

We keep information while a school’s subscription is active and for a reasonable period afterward for backups, disputes, and legal compliance. Schools may request export or deletion subject to their agreement with SmartBus.

8 Security

We use industry-standard protections including encrypted connections, access controls, and separation of school data. No online service is perfectly secure; we work continuously to protect information responsibly.

9 Children’s privacy

SmartBus processes student-related transport information on behalf of schools. Schools are responsible for informing parents and obtaining any consents required under applicable Kenyan law. Parents should contact their school about a child’s records.

10 Your choices

• You may manage notification settings on your device.
• Account access is linked through your school’s enrolment records.
• Parents can manage optional account details and delete their parent-app account from within the app where that option is available.
• To update or delete personal data, contact your school, use our data deletion request page, or email [email protected].

11 Changes

We may update this policy from time to time. The “Last updated” date at the top will change. Continued use of the apps after changes constitutes acceptance of the updated policy.
